Professional Archive Manager for Exchange Version 3 provides administrators with intelligent tools including integrated Hierarchical Storage Management, direct archiving, PST gatherer, Enterprise Content Management post-processing and dedicated retention categories in addition to the classic scheduled archiving jobs based on age and size. Organizations can avoid compliance issues with the e-discovery suite or tackle growing storage issues with comprehensive email lifecycle management or parallel writing onto existing storage media.

Professional Archive Manager for Exchange archives messages in their original format, separating the elements of the message and archiving them as stand-alone contents (body-text in MSG format and the attachments in their original format).

An MD5 algorithm is used to check that the messages and their attachments are not already in the archive. Every email and attachment are saved only once (single instance storage), regardless of the number of MS Exchange-Servers connected to Professional Archive Manager for Exchange. In comparison with saving messages as PST files, the space requirements can also be considerably reduced. The solution also provides the ability to save messages as TXT or HTML in the event that the MSG format is not supported in the future.

e-Discovery Web Interface

An easy-to-use search functionality in the e-Discovery Web Interface allows users to search for archived messages and attachments. The messages found can be viewed either through MS Outlook or through a web browser. It allows for the search using combined filters such as "Sender", "Subject", and "Body-text". Attachments can also be searched using Full-text search keywords. Additionally, auditors have the ability to export messages found in searches to PST files for portability.

Blackberry Archiving

Professional Archive Manager for Exchange leaves a shortcut behind on the MS Exchange Server after archiving. This makes life easy for the MS Outlook user who can call up archived emails via the stubs in their inbox. Blackberry users did not have this kind of access to archived messages –until now.

The new feature known simply as “shortcut delay” is now available in Version 3 of Professional Archive Manager for Exchange. The shortcut creation time can be defined allowing Blackberry users access to mails and attachments that have already been archived. This feature can also be used to reduce the number of “redundant” shortcuts left in the Exchange Store after a specific number of days, months or years.

Outlook/Entourage: Mac

For those organizations that use both Microsoft and Apple systems on a daily basis – Mac users can now access archived emails via the Entourage office suite for Mac OS X.

Post Process Management and Disaster Recovery

Professional Archive Manager for Exchange allows full business continuity should the Exchange Server go down by providing access to archived mails. Many companies now use electronic document management and workflow systems to improve internal work processes. Email archiving should also be an integral part of existing solutions allowing users unified access to both emails and documents. Third party applications such as CRM, ERP or DMS/ECM can import the relevant archived email and index information stored in a specific location or pool.

Archive Shortcut Limiter

Professional Archive Manager for Exchange leaves a shortcut/stub along with a copy of the body text in MS Exchange so that users have a preview of archived emails via MS Outlook. Pure text mails created by replying and forwarding can of course grow quickly in size. In order to circumnavigate this potential storage issue, Professional Archive Manager for Exchange allows the administrator the right to define the size of the body text copy.

The MS Exchange Store is offloaded and users can still view a short preview of the email. The whole message can be viewed by double-clicking the shortcut and retrieving it from the archive.

Comprehensive Scalability

Professional Archive Manager for Exchange offers full scalabilty to large organizations scattered around the globe. The servers are distinguished with a unique identifier – the LocationID. More servers can be assigned to one location: one archive server and x retrieve servers and/or pst import servers. For example: one Professional Archive Manager for Exchange archive service for daily business, one PST Import archive service and several retrieve services operating in parallel.
