Over the years, Hisco has seen tremendous growth in its Microsoft Exchange email
usage. As the company grew, so did the demands on its email server. Even more
challenging, however, has been the proliferation of email data on Hisco employee’s
personal computers. With email mailboxes limited to 300 MB, employees store their
data in personal PST files and this data was not part of a routine data protection
strategy, which meant data loss was becoming an issue.
“Our email is basically limited to 300 MBs, so to overcome that limit, everyone had a
personal folder set up so emails were taken off the server and put into their personal
computer,” said Hanh Nguyen, senior network administrator, Hisco, Inc. “We wanted
to centralize so emails wouldn’t get lost. We wanted both a retention system and a way
to search them.”
Hisco wanted an email retention solution that offered seamless and transparent features
for employees. The company also wanted a single database to manage and the ability
to improve its server performance by offloading email data from its server.
To solve its email challenges, Hisco evaluated a number of solutions but found that
they were either too expensive or had optional charges for searches. Then the company
discovered Metalogix Archive Manager Exchange Edition when searching for products in
MSExchange.org. It was named at the top of the website’s list of email archiving solutions
and it appeared to meet all of Hisco’s requirements.
“We went with Metalogix because of the features it had compared to all the others,” said
Nguyen. “It was seamless, so when you archive email the users wouldn’t notice a change.
There was no ‘go here’ or ‘go there’ to get your archives. It has built-in discover searches
so you didn’t have to pay extra for searches. It also has a single database, when others
required multiple databases if the email store goes over a certain limit. It was just what
we were looking for.”
Hisco deployed the Metalogix Archive Manager Exchange Edition on a virtual machine
with a dedicated NAS device. The implementation was extremely fast – only 30 minutes
for Hisco’s 350 mailboxes with 100GB of data. Using journaling to capture everything
through the system, Hisco has been able to offload a total of 50GB of data from its email

said Nguyen. “It really helped us because we didn’t have to buy anything else.”
Hisco has now eliminated the problem of email data stored in personal folders and is
confident that lost emails can be easily found through a simple search. Even better, the
company has improved its overall email data retention and protection strategy so that
critical email data is secured and recoverable. With its Exchange data reliably archived, it
is now planning an upgrade from Exchange server 2003 to 2010, knowing that its current
email data will securely make the transition with ease.
