Midwest Operating Engineers IT Services (MOEITS) is responsible for managing the systems and processes used by Midwest Operating Engineers, one of the largest labor unions in the United States. MOEITS oversees the technology used to run various programs and services offered by the union, including a credit union, a pharmacy, healthcare management, legal services, and union grievance processes.
To enable collaboration across such a dynamic and disparate business environment, MOEITS uses SharePoint 2013.
- Using SharePoint to streamline collaboration across disparate business units and organize highly-sensitive decentralized content
- End-to-end SharePoint management tools from Metalogix reduce risk, enforce compliance, optimize performance, and simplify content migration and organization
- Reduced costs by 50%
- Solutions deployed: SharePoint Backup, ControlPoint, Content Matrix, Replicator, Diagnostics Manager, StoragePoint
MOEITS provides support to approximately 250 local users and an additional 27,000 union members across Illinois, Indiana, and Iowa. This large user population generates an enormous amount of paper – from thousands of medical claims to contracts. Thanks to SharePoint MOEITS has dramatically streamlined the company’s routine workflow processes: “If there’s a piece of paper it’s going into SharePoint now,” said Ron Borden, Executive Director of MOEITS. To help MOEITS with the process of cataloging and integrating its paper records into SharePoint, MOEITS partnered with Knowledge Lake, an industry-leading document imaging and management company.
Paper, however, was only one of MOEITS’ problems. The need to comply with federal and state statutes governing insurance, financial, and labor practices across multiple, decentralized business units – each of which is a separate legal entity – proved an additional challenge.
While, SharePoint provided MOEITS with a game-changing platform for centralizing and streamlining its massive content inventory and workflows, the out-of-the-box management tools proved less than ideal for administering such a large deployment, supporting compliance, and enforcing governance policies. With a migration to SharePoint 2013 underway, Ron was facing a bottleneck.
“SharePoint’s a great tool for getting content organized but there are some shortcomings,” explained Ron. “Managing security inside the product, for example, is a nightmare. We’ve been forced to be more vigilant because out-of-the-box tools just don’t get you there. To get SharePoint to where you need it to be you really need to bring in other toolsets.”
With Metalogix, I get the answers I need and quickly. That level of support, coupled with the training we’ve received from the entire Metalogix ecosystem, is very important to us.
Before we invested in Diagnostics Manager it was like driving a car without a dashboard, now we can easily focus attention on where SharePoint servers are not performing well or pages load slowly and fix it quickly
One of the first toolsets MOEITS deployed was a SharePoint backup solution from a third party vendor. However, following a difficult deployment and ongoing backup and support issues, Ron quickly determined it was time to look elsewhere.
It was at this point that Knowledge Lake recommended Metalogix. MOEITS hasn’t looked back since.
Now several years into its relationship, MOEITS has invested in an umbrella of Metalogix SharePoint management tools. An early priority was the implementation of a storage and backup solution that Ron’s team could trust, leading to the selection of Metalogix StoragePoint and Metalogix SharePoint Backup. With StoragePoint, MOEITS is able to shrink content databases and sidestep SQL to increase SharePoint performance while SharePoint Backup provides fast, full-farm back-up – minimizing downtime and business risk. In addition, MOEITS experienced a cost savings of 50% as a result of deploying SharePoint Backup.
To support the pre-and post-migration management of large volumes of content across multiple farms, MOEITS deployed Metalogix Content Matrix. This powerful tool goes beyond the capabilities of Microsoft’s out-of-the-box upgrade tools, delivering high-speed, high-fidelity migration and content organization capabilities. Metalogix ControlPoint was also chosen to simplify and automate governance, reporting, and permissions during the migration and for the long-haul.
MOEITS tool of choice for ensuring that content is synched in real-time across multiple farms is Metalogix Replicator. Specifically, Replicator supports MOEITS’ extranet which provides the ability to share select key documents with clients across multiple customer-facing portals – keeping the content synchronized and available, regardless of the farm they reside on, even during SharePoint outages.
Finally, Metalogix Diagnostics Manager provides MOEITS with a dashboard-based window on performance. Monitoring, identifying, and diagnosing performance and availability issues – all integrated into SharePoint. These toolsets, backed by Metalogix support and training services, provide MOEITS with an unparalleled end-to-end SharePoint management, governance and risk mitigation infrastructure.

Metalogix checks all the boxes for MOEITS. Including:
SECURITY - Given the complex politics and routing of sensitive information that MOETIS deals with on a day-to-day basis, internal security controls and governance were a big concern that Metalogix was able to address. “I’m really excited about the security capabilities and visibility that Metalogix tools provide into the who, what, and where of our SharePoint environment,” said Ron.
RESPONSIVE SUPPORT - “We’re a very lean department and the less time we spend on the phone getting our issues solved the better,” said Ron. “With Metalogix, I have no complaints. I get the answers I need and quickly. That level of support, coupled with the training we’ve received from the entire Metalogix ecosystem, is very important to us.”
COST SAVINGS – As MOEITS’ SharePoint migration progresses, Ron’s team continues to realize cost savings. StoragePoint alone has reaped significant benefits. “Thanks to StoragePoint, we no longer have to spin up additional SQL servers to handle large content files. This has cut my costs by at least 50 percent,” said Ron. “I tell other organizations all the time, if you’re going to get one add-on to SharePoint, make sure it’s StoragePoint.”
INCREASED VISIBILITY – MOEITS now has the insight it needs to manage its SharePoint environment more effectively. “Before we invested in Diagnostics Manager it was like driving a car without a dashboard, now we can easily focus attention on where SharePoint servers are not performing well or pages load slowly and fix it quickly”.
